How the club handles personal information

Last updated: 22 October 2026

This notice explains how Codnor Athletic FC (“the club”, “we”) uses personal information in connection with this website, our players and our matches. We follow the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Who we are

Codnor Athletic FC is an amateur Sunday league football club. The club is the data controller for the information described here. For anything about your data, email CodnorAthletic-enquiry@outlook.com with “Privacy” in the subject line.

Contact form enquiries

What we collect: your name, email address, the enquiry type you choose and your message.

Why: to read and reply to your enquiry. This includes sponsorship, playing, welfare and general questions.

Lawful basis: our legitimate interest in answering people who contact us (UK GDPR Article 6(1)(f)). If your enquiry leads to an agreement, such as a sponsorship, we rely on taking steps towards a contract (Article 6(1)(b)).

How long we keep it: up to 12 months after the conversation ends, unless it relates to an ongoing sponsorship or a welfare matter, which we keep for as long as needed for that purpose.

We do not use enquiries for marketing and we never sell or share them, except where the law or a safeguarding duty requires it.

Welfare and safeguarding

Welfare concerns go to the club Welfare Officer. They are handled in line with The Football Association’s safeguarding policies. Where there is a risk of harm, we may share information with the County FA, The FA or the relevant authorities, as the law allows (Article 6(1)(c) and (e), and Article 9(2)(g) for any sensitive information).

Players and match records

Player profiles show a name, playing position, a short biography and match statistics. They do not include photos. Season records, results, line-ups and scorers are published as the club’s sporting history, much as league tables and match reports are. We also use public results and line-ups from FA Full-Time.

  • Lawful basis: our legitimate interest in publishing the club’s results and history, balanced against the player’s interests. Any player, or former player, can ask us to remove their biography or to show only their name in the records.
  • We never publish dates of birth, addresses, phone numbers or medical information.
  • Under-18s: we do not show ages, and any match photo featuring an under-18 is used only with the consent of a parent or guardian. Consent can be withdrawn at any time and the photo will be removed.

Match photography

Photos are taken at matches by a club volunteer photographer. If you appear in a photo and would like it removed, email CodnorAthletic-enquiry@outlook.com and we will take it down.

Cookies and analytics

This website does not set cookies and does not use advertising or cross-site tracking.

We use Pirsch, a cookie-free analytics service hosted in the EU, to count visits and see which pages are useful. Pirsch does not store IP addresses or identify individual visitors. It creates a daily fingerprint from your IP address and browser details, then discards the raw data. We rely on our legitimate interest in understanding how the site is used (Article 6(1)(f)). No cookie consent is needed because nothing is stored on your device.
